Privacy Policy
1. Who we are
Calverton Academy ("we", "the school") is an online school in formation, planned for registration as a private school in Florida, USA. This policy covers the website calvertonacademy.com and the Calverton Academy portals for students, parents, teachers and staff.
2. Information we collect
- Admissions: parent or guardian name, email, phone, country, student name, grade, and prior schooling notes.
- Student records: enrollment, coursework, submissions, grades, attendance, exam attempts, transcripts, and official test scores (SAT, ACT, AP and others) that you report or that testing organizations send to us.
- Exam integrity data: during online exams we log events such as leaving the exam tab, exiting full screen, or copy/paste. For proctored finals, live video may be used as described in the exam notice.
- Account and technical data: login email, hashed password, session cookie, IP address and basic device information needed for security.
- Payments: processed by our payment provider (e.g. Stripe). We do not store card numbers.
3. How we use information
To run the school: admissions, instruction, grading, transcripts and diplomas, communication with families, academic integrity, safety and legal compliance. We do not sell personal information, and we do not use student data for targeted advertising.
4. Children's privacy (COPPA)
Many of our students are under 13. We collect a child's personal information only with verifiable consent from a parent or legal guardian, obtained at enrollment. Parents may review their child's information, ask us to correct or delete it, and refuse further collection, by contacting [privacy@calvertonacademy.com]. We collect only what is reasonably necessary for the educational activity, and we keep it only as long as needed (see Retention). Third-party services receive children's data only as needed to provide the service to the school and under written agreements. We follow the FTC's Children's Online Privacy Protection Rule as amended in 2025.5. Student records and FERPA
Calverton Academy does not receive U.S. Department of Education funding, so FERPA does not formally apply. We nevertheless follow its principles: parents (and eligible students aged 18+) may inspect records, request corrections, and control disclosure. We release transcripts only at the request of the parent or eligible student, or as required by law.
6. Sharing
We share information only with: (1) service providers acting for the school, such as hosting (Netlify), database, email, payments, video classes and learning tools; (2) universities, schools or testing organizations when you request it; (3) authorities when required by law or to protect a child's safety.
7. International students (GDPR and other laws)
If you live in the EU/EEA, UK, Egypt, Saudi Arabia or another country with data-protection laws, you have rights to access, correct, delete, restrict and port your data, and to object to processing. Our legal bases are contract (providing education), legal obligation, legitimate interests (security and integrity), and consent where required. Data is processed in the United States with appropriate safeguards.
8. Retention
The permanent academic record (courses, grades, credits, graduation) is kept indefinitely, because graduates need transcripts for life. Exam integrity logs and proctoring recordings are deleted within [90 days] after grades are final, unless they are needed for an open integrity review. Admissions data of non-enrolled applicants is deleted after [24 months].
9. Security
Passwords are hashed, connections use HTTPS, access is restricted by role (student, parent, teacher, staff), and staff actions are logged in an audit trail.
